Salt Lake City Moving Day: Coordinate the Truck, Loading Route, and Building Window

Homzora editorial team · Reviewed October 17, 2026

A moving reservation answers only part of the access problem. You still need a lawful place for the vehicle, a usable path into the building, and permission to use any shared facilities involved. When those arrangements are made by different people, a small misunderstanding can leave a crew waiting while the household tries to resolve the missing piece.

Build one access plan that connects the old address, the new address, the vehicle, and the people doing the work. This guide focuses on the questions worth resolving for a Salt Lake City move. It does not authorize street use or replace the instructions of the city, building manager, or moving provider.

Draw the route for belongings, not just the vehicle

Start where the vehicle could stop and trace the route to the apartment. Record the distance, doors, turns, stairs, elevator, and any gate that needs access. Include the point where a person will meet the crew and the location where belongings may be placed temporarily if permitted.

Photograph relevant features where you have permission and can do so safely. Share those details with the moving provider before requesting a final scope. A phrase such as easy access does not tell a provider whether the work involves stairs or a long carry.

Do the same at the old address. A well planned destination does not solve a difficult pickup. The provider needs an accurate description of both ends to explain the service and the assumptions behind the quote.

Identify who controls each part of the route

Separate the public street, private driveway, loading area, lobby, and elevator. Ask which organization or person can approve use of each space. A building manager may control the loading room without having authority to reserve public curb space.

For city questions, start with Salt Lake City's permit information and parking guidance. Describe the actual proposed activity and location when asking what process applies. Do not assume another city's moving permit rules apply here.

Keep written confirmations with the plan. If no special arrangement is needed, record who provided that explanation and what situation they were addressing. A general answer about ordinary parking may not address a container or an obstruction of a public path.

Distinguish a truck from a moving container

A vehicle used during loading and a container left in place are different proposals. Salt Lake City publishes guidance for dumpsters and moving containers. Consult it before arranging a placement in the public right of way.

Tell the supplier where you intend the container to go and ask what space and access it requires. Then confirm the applicable permission with the responsible authority. The supplier's ability to deliver does not itself establish permission to occupy the location.

Record delivery and collection separately. A container may solve one scheduling problem while creating another if it cannot be collected when expected. Keep the full period and any conditions visible in the plan.

Confirm the building window

Ask the property manager whether a loading area or elevator needs a reservation and what the reservation includes. Record the start and end time, the contact, and any stated requirements for the moving provider. Do not assume that reserving one facility reserves every part of the route.

Share the window with the provider and ask whether the planned work can reasonably fit. If the quote assumes a different arrival range, resolve the conflict before booking. A narrow building window and a broad delivery estimate can be incompatible even when each seems reasonable alone.

Ask what happens if the preceding move runs late or the elevator is unavailable. You do not need a guarantee that nothing will go wrong, but you need a contact and a clear process for getting an updated instruction.

Match the service to the tasks

List loading, transportation, unloading, packing, disassembly, and assembly as separate tasks. Confirm which are included and who supplies the relevant equipment. A reservation for help with labor should not be treated as a reservation for a vehicle unless the agreement says so.

The provider website describes moving service options. Do not assume that every option offers the same work or that a platform description confirms suitability for your building. Send the actual access information and ask the selected provider to confirm the relevant details.

Give the inventory a version number

Prepare an inventory of the major items and the approximate number of boxes used for the quote. Mark unusually large, fragile, or heavy belongings. Include dimensions and relevant photographs where they help explain the work.

When the inventory changes materially, ask whether the quote or service plan changes. Keep the revised version with the confirmation. A provider should not have to discover on arrival that the load includes additional furniture or a different destination.

Avoid making unsupported assumptions about disassembly. Follow manufacturer information and obtain appropriate help. Do not promise that an item will fit through a door because you expect parts to come off without checking.

Build a timeline with dependencies

List the events in the order they must occur: access to the old home, vehicle arrival, loading, travel, access to the new home, unloading, and return of any rented equipment. Add the building window and any city approved arrangement at the relevant point.

Identify which steps cannot begin until another is complete. If the new keys are collected later than the planned arrival, the vehicle may need to wait or the schedule may need to change. Resolve that dependency before the day itself.

Leave reasonable room for ordinary uncertainty without inventing a universal buffer. Ask the provider about its scheduling process and use your own confirmed access constraints. A timeline should expose conflicts, not conceal them behind an optimistic sequence.

Choose one person for decisions

Identify the person who can answer questions and approve changes within the household's agreed plan. Give the provider an appropriate contact and ensure that person can be reached during the work. If responsibilities change between addresses, make the handoff explicit.

Keep building contacts separate from household contacts. The person authorizing an extra service may not be the person who can unlock a loading entrance. A short contact sheet should show each role rather than merely listing phone numbers.

Do not give access codes or private information to unnecessary recipients. Share what each participant needs through an appropriate channel. Remove temporary access where the building process requires it after the work is complete.

Prepare a response to delay

Ask whom to notify if the vehicle arrives outside the expected window. Find out whether the building can offer another time and how the provider handles waiting or rescheduling under its terms. Record the answer instead of assuming that everyone will be flexible at no cost.

If the plan involves a gap between homes, identify where belongings and people will go. Temporary storage, accommodation, or another trip should be considered explicitly. Do not improvise an unauthorized loading or storage location simply because the original schedule failed.

Keep important daily items accessible. Medication, essential documents, chargers, and immediate household needs should not depend on finding a particular box deep in the load. Prepare according to your circumstances and any relevant professional advice.

Check the route shortly before the move

Confirm the building reservation, provider booking, and any applicable public space arrangement. Ask about changes to the entrance or loading area. If possible, observe the route again to identify construction or another visible issue that was not present during the first visit.

Do not move signs, barriers, or someone else's vehicle to make the plan work. Contact the responsible party and follow the appropriate process. A reservation should be implemented through the authorized arrangement, not through improvised enforcement by the household.

Keep copies of the relevant confirmations available during the move. They can help clarify what was agreed, but they do not replace instructions from the responsible authority when circumstances require attention.

Close the move with a clear record

At completion, review the work performed and any documented changes with the provider. Keep the invoice, receipts, and relevant correspondence. Record which person confirmed that the work was finished. Report a concern through the provider's established process with a factual description and supporting information.

Confirm that shared facilities are left as required and that any temporary arrangement is closed out. Return access devices or equipment according to the agreed process. Do not assume a task is complete because the furniture has reached the apartment.

A coordinated move connects four things: the actual load, the authorized space, the building schedule, and the agreed service. Getting those details aligned before the vehicle arrives is more useful than relying on everyone to solve the same problem separately on moving day.
